More InfoOPTi-Q™ enables the better management of quality system documentation by breaking down the system into a series of “Dashboards”. These dashboards are separated into seven distinct categories which contain their own performable actions to help maintain the Quality Management System (QMS).
The icons listed below represent the seven categories and describe an overview of how each category helps manage the QMS:
The OPTi-Q™ Desktop
The OPTi-Q™ desktop is the central point which connects all the other dashboards. Dashboards can be accessed directly from the OPTi-Q™ Documents menu within the application or directly from this desktop dashboard.
The OPTi-Q™ Manual
The OPTi-Q™ Manual is the Quality Management System Manual. This document describes the QMS and how the organisation meets the requirements of applicable standards (such as ISO 9001) and how it achieves, monitors, maintains and improves quality throughout it’s processes. OPTi-Q™ comes with a template manual that provides a basic foundation which users can build and expand on. Users with an existing QMS manual can edit the location/target of this item on the OPTi-Q™ Desktop so it references their existing document if they wish.
The OPTi-Q™ Quality Policy
The OPTi-Q™ Quality Policy references the organisations quality policy. OPTi-Q™ provides a basic template for a quality policy for the user to adapt or as with the manual, the user can reference an existing document if they wish.
The OPTi-Q™ Organisation Chart
The OPTi-Q™ Organisation Chart opens up the organisation chart. This chart can be edited and expanded as desired by the user to reflect the always changing organisation structure of the company. As before users with an existing document can reference that if they wish.
The OPTi-Q™ Procedures Dashboard
The OPTI-Q™ Procedures Dashboard provides an area where all the first level documents of the QMS (usually procedures) can be referenced. The user has the ability to create new procedures and OPTi-Q™ will automatically reference and attach the procedure into the OPTI-Q™ solution. A basic procedure template is provided but users are able to specify their own templates to be brought into the solution if they wish. Procedures can also be either updated or deleted from the system. Any procedure that is updated in the system is automatically time stamped and a copy of the procedure being replaced is stored in an archive folder for historical and audit purposes. Deleted procedures are removed completely without copies being retained.
The OPTi-Q™ Work Instructions Dashboard
The OPTI-Q™ Work Instruction Dashboard provides an area where all the second level documents of the QMS (usually work instructions) can be referenced. The user has the ability to create new work instructions and OPTi-Q™ will automatically reference and attach the work instruction into the OPTI-Q™ solution. A basic work instruction template is provided but users are able to specify their own templates to be brought into the solution if they wish. Work instructions can also be either updated or deleted from the system. Any work instruction that is updated in the system is automatically time stamped and a copy of the work instruction being replaced is stored in an archive folder for historical and audit purposes. Deleted work instructions are removed completely without copies being retained.
The OPTi-Q™ Reports Dashboard
The OPTi-Q™ Reports Dashboard provides an area where all supporting documentation for the QMS such as inspection reports, audit reports, approved supplier records and equipment calibration records etc can be stored and referenced. Reports/records can be archived to keep the dashboard clear as time progresses and ensure that both current and past documents are maintained for compliance requirments.
